Cancellation Policy

If you cancel your registration, the following applies:

  • The $300 deposit is non-refundable
  • Paid program fees (minus the $300 deposit) are refundable until April 5, 2024
  • No refunds are available after April 5, 2024
  • Cancellation and refund policies apply to ALL Financial Aid Students as well
  • Failure to cancel prior to the April 5, 2024 deadline will result in a bill for the full program fee. Financial aid is not available for students who cancel their program.

In order to cancel once you have registered, please notify the Travel Study team by emailing “info@ieo.ucla.edu” with the subject line “Travel Study Program Cancellation Request”. Your message will be directed to the appropriate staff member for assistance.

In the event that Travel Study must cancel a program, all registered students will be notified immediately and given a refund of all recoverable costs. Full details will be provided should a cancellation be necessary.

Dropping Courses

Required Courses: Each Travel Study program consists of a required course curriculum. Students are automatically enrolled in this curriculum. These courses are mandatory and cannot be dropped. Students are responsible for ensuring they do not  already have credit for the mandatory program courses (financial aid cannot be awarded for duplicate credit). Substitutions for required courses may be requested, pending faculty approval.  Please visit Academics for additional academic policy information.

Optional Courses: Optional courses may be dropped through MyUCLA by August 30, 2024 for no penalty. After August 30, optional courses may be dropped for no refund until September 13, 2024, the last day of Summer Session C.

More information about a program’s required and optional courses can be found on each program’s webpage.

Grading

Travel Study students are enrolled in UCLA courses by the International Education Office. ALL courses must be taken for a letter grade. Auditing is not allowed for Travel Study program courses. Students are required to be in good academic standing (minimum 2.0 term GPA and cumulative GPA of 2.0 or above) during the spring quarter proceeding participation in a Travel Study program. Failure to do so may result in withdrawal from the program and cancellation of your course enrollment.

Grades for all UC students will automatically transfer to their UC transcript in the fall.

Non-UC students will need to request a transcript for transfer of courses to their home institution. Please visit MyUCLA for information on obtaining a UCLA transcript.

Transcripts

Grades should be available via MyUCLA after October 1. To request an official transcript, visit MyUCLA.

  • UCLA Students: Summer grades are usually posted to your regular transcript when fall grades are processed.
  • Other UC Students: Courses and grades will transfer automatically during the month of October. It varies by UC campus when courses and grades will be posted to the regular transcript.
  • Non-UC Students: Official hard copy transcripts are usually available after October 1.

UCLA Vaccination Policies (Including COVID-19)

Please see campus page for protocols and instructions on vaccination, symptom monitoring, and management of infectious diseases. Quarantine or isolation space abroad is not guaranteed to be provided by UCLA. Please note that local country requirements for vaccines and disease management protocols may differ or may be more restrictive than campus. Students are encouraged to research their destination/transit points to ensure compliance can be met before travel. See US embassy pages for your destination as an initial resource.
